• Exhibit an intellectual curiosity and professional passion for GulfQuest, its exhibits and programs, and its mission "to inspire people of all ages and backgrounds to understand and appreciate the Gulf Coast's rich maritime heritage through exhibits, programs and activities."
• Ensure a positive experience for GulfQuest visitors by serving as an ambassador during all work-related activities for the museum, providing information, services and support whenever possible.
• Interact effectively with other staff members in a manner that establishes and supports a collaborative work environment marked by a high level of team satisfaction, productivity and success.
Special Events
Assist the Special Events/Group Sales Director with promoting and facilitating the use of the museum's facilities for corporate events, private parties, conventions, meetings, seminars, trainings, weddings, and other events through personal contact, public speaking, sales calls, direct mail, outreach, and website promotions.
Follow-up with written materials, phone calls and confirmation letters to ensure clients are well-informed regarding booking details, museum policies and event management procedures.
Present the museum's facilities to potential clients, offering information regarding value-added opportunities for events.
Provide research support and completes tasks required for event preparation.
Assist with the set-up for all events; staff certain events personally and inspect the facility following all events to ensure compliance with policies.
Group Sales
Assist the Special Events/Group Sales Director with promoting and facilitating museum attendance by groups and group tour buses, through personal contact, public speaking, sales calls, direct mail, outreach and website promotions.
Follow-up with written materials, phone calls and confirmation letters to ensure groups are well-informed regarding booking details, museum policies and group attendance procedures.
Follow-up with groups and group tour operators to determine satisfaction.
Provide administrative assistance to Special Events/Group Sales Director including maintaining accurate and up-to-date records and files for all event and group management projects.
Other duties and event management activities as assigned by Special Events/Group Sales Director.
Bachelor’s degree or equivalent education and experience
2+ years work experience in event sales, group sales, hospitality and/or event planning
Museum, science center, cultural attraction or non-profit experience preferred
Proficiency in Microsoft Office including but not limited to Outlook, Word, Excel and PowerPoint
Database experience preferred
Ability to communicate to a diverse audience and maintain a high attention to detail
Excellent written and verbal communication skills, including active listening skills
Superior organizational, time management and interpersonal skills
Ability to work in a collaborative, fast-paced work environment
Self-motivated, proactive approach to problem-solving
Frequent evening and weekend hours required
The position requires a strong work ethic and the ability to work both independently and as part of a team. The job requires a considerable amount of time standing or sitting (often for several hours straight) and communicating in person, through email and by phone. The work requires the ability to multi-task with a considerable degree of accuracy and exactness and the ability to address multiple projects simultaneously (and handle the accompanying stress). Regular/predictable attendance is critical. Appropriate attire is required. At times, lifting 25 pounds unassisted (and 50 pounds assisted) will be necessary
