Finance DirectorJob Status: Full-time, Exempt (Salaried)
Reports To: Executive Director
Team Duties/Responsibilities
• Exhibit an intellectual curiosity and professional passion for GulfQuest, its exhibits and programs, and its mission "to inspire people of all ages and backgrounds to understand and appreciate the Gulf Coast's rich maritime heritage through exhibits, programs and activities."
• Ensure a positive experience for GulfQuest visitors by serving as an ambassador during all work-related activities for the museum, providing information, services and support whenever possible.
• Interact effectively with other staff members in a manner that establishes and supports a collaborative work environment marked by a high level of team satisfaction, productivity and success.
Position Duties/Responsibilities
• Formulate and administer accounting policies, practices, and procedures to ensure that financial records and reports accurately reflect the financial condition of the museum and provide reliable information necessary to effectively manage daily operations.
• Manage the museum’s financial operations, accounting functions, budgeting processes, billing practices, annual audit, and the receipt, banking and distribution of funds and financial instruments.
• Develop the annual operating and capital budgets; analyze results throughout the year; identify potential issues; develop financial forecasts; and advise the Executive Director on budget management.
• Prepare (and direct the preparation of) accurate and timely financial statements, operational analyses, budgets, forecasts, tax returns, and other financial information as needed by the Executive Director, museum staff, Board of Trustees, Finance Committee, and regulatory agencies.
• Oversee human resource management, including recruitment, hiring and compensation; benefits
administration and oversight; and regulatory oversight and legal compliance.
• Maintain current knowledge of (and ensure compliance with) generally-accepted accounting standards and applicable federal, state, and local policies and procedures.
• Develop and monitor internal control policies and procedures; insure compliance with all federal and state financial reporting requirements and all contract and grant financial guidelines.
• Review contracts for major purchases and traveling exhibitions and provide financial advice.
• Procure, monitor and manage the museum's property, liability and D&O; insurance policies.
• Work responsibly with confidential financial and human resources information
• Other duties and project management activities as assigned by Executive Director.
Requirements/Qualifications
• BS in accounting or related field, CPA/MBA desirable
• 5+ years work experience in financial administration, preferably with human resources experience
• Proven proficiency with accounting/payroll/financial management software programs
• Experience with accepted accounting and financial management principles and practices, budget planning and the analysis and reporting of financial data for management purposes
• Knowledge of applicable laws, legal codes, court procedures, precedents, and federal, state and local government regulations, as they apply to financial management, accounting and human resources
• Professional commitment to remain current with appropriate best practices and relevant trends
• Excellent written and verbal communication skills, including active listening skills
• Ability to maintain confidential status of financial and employee information
• Superior organizational, time management and interpersonal skills
• Ability to work in a collaborative, fast-paced work environment
• Self-motivated, proactive approach to problem-solving
• Occasional evening/weekend hours required
Work Context
The position requires a strong work ethic and the ability to work both independently and as part of a team. The job requires a considerable amount of time standing or sitting (often for several hours straight) and communicating in person, through email and by phone. The work requires the ability to multi-task with a considerable degree of accuracy and exactness and the ability to address multiple projects (and handle the accompanying stress). Regular/predictable attendance is critical. Appropriate attire is required. At times, lifting 25 pounds unassisted (and 50 pounds assisted) will be necessary.
